- How do your people think about work? Teams that live in spreadsheets and color-coded statuses thrive on visual, board-first tools (Monday, Trello, ClickUp). Teams that plan in milestones, sprints and dependencies need structured hierarchy (Asana, Jira, Linear).
- How big is the team — and how flat is it? Free tiers are not equal: Asana gives 10 free users, Monday only 2, Trello is generous with boards but light on depth. For a small team the free tier is often the real decision.
- What will you actually automate? Automation limits vary wildly between plans. A tool that looks cheap on paper can cost more the moment you need substantial automations on a lower plan.
